Electronic Document and Business Process Management
First and foremost, PayDox is designed to help you define and optimize your business processes and document flow. The system is implemented as a Web-based corporate portal that features a full range of commonly used EDM/BPM functions, and offers virtually unlimited customization and integration options.
The Pay part of the system name means that the system pays back fast, within weeks upon implementation and we mean it. The same Pay part implies that PayDox has a special set of functions designed for creating, maintaining, and monitoring payment documents orders, invoices, receipts, etc.
Records Management
The RM functionality associates a database record (set of attributes) with each new entity (such as document) or event (such as document approval or payment transaction) in the system. Once the record is created, it can be viewed and manipulated using standard system functions. Entity and event records can also serve as a basis for various reports. The RM functionality is the starting point for structuring corporate information and business processes in the areas that have not (and could not) been automated before.
One of the key features of PayDox is its ability to serve as a structuring tool for corporate information. Many EDM/BPM systems are built around the concept of processing non-structured information. No argument, non-structured information processing is an important task. However, in our opinion, the emphasis in the corporate information management should be on structuring that information. The most effective information processing technologies are applicable only to structured information. Moreover, only structured data representation ensures 100% reliable and safe retrieval of mission-critical information, such as names/codes and prices of goods, contact telephones and emails, etc.). Therefore, business processes should establish order in information from the very beginning instead of allowing chaos and then trying to overcome it.
Customer Relationship Management
The PayDox CRM functionality enables the following:
- Recording history of contacts with customers, suppliers, and partners
- Storage and retrieval of information about customers, suppliers, and partners (such as contact names, telephones, and emails)
- Mass-mailing to specific populations of customers, suppliers, and partners
- Providing certain customers, suppliers, and partners with restricted access to your corporate information
Of course, PayDox is not a replacement for a full-scale CRM system. However, it can satisfy some common CRM-related needs. It can also interface with a CRM system when and if you have it.
Electronic Routed Approval Management
PayDox is a simple and powerful solution for getting documents to the right people in your organization for approval:
- As each document (invoice, order, request etc.) comes in, PayDox determines who needs to see this document based on routing rules
- When you have documents to approve, PayDox will notify you via e-mail
- On your PayDox computer screen, you can go to the document, adjust it if necessary and approve or reject
- PayDox allows you to approve multiple invoices at one time
- PayDox lets you to include any additional responsible users in the approval process
Accounts Receivable and Accounts Payable Management
PayDox provides special support for documents that govern the money flow orders, invoices, receipts, etc. The PayDox AR and AP functionality includes the following:
- Creation of AR and AP documents (invoices etc.)
- Monitoring of and control over the AR and AP document statuses
- Electronic Routed Accounts Receivable and Accounts Payable Approval
- Generation of reports with accounting elements: Balance by Contract, Sales Report, Payment Status, Delivery Status, Money Movement by Period, Money Movement by Partner, etc.
- Easy definition of new accounting-oriented reports (without the need to involve a system administrator or a programmer)

Usually, accounting software systems do not support the entire cycle of preparation, routing, approval, and status monitoring of the money documents. PayDox does.
PayDox includes a number of features for payment document management:
- Preparing and monitoring all types of payment documents
- Document payment status management for incoming and outgoing payments
- Partial payment management
- Banking and internal corporate accounts management
- Inter-account payment transactions
- Automatic and manual currency conversion
PayDox would not replace a specialized accounting or book-keeping software. However, the use of such specialized software is often restricted to the AR and AP personnel.
